The first step is scheduling a complimentary consultation. During that 30 minute conversation, we’ll discuss your travel ideas, timeline, and preferences. From there, I’ll guide you through the planning process and begin creating your personalized travel experience with a first and best proposal.
Each trip will start with a 30 minute complimentary Zoom meeting to discuss your trip plans. If Zoom doesn't work for you, then we will set up another method of virtual meeting or call.
Yes, I charge a non-refundable planning fee. This covers my Signature Concierge Care Service, dedicated planning and research for your trip, and my professional expertise. Prices will vary by trip itinerary.
I am your go-to resource for your vacation from start to finish.
PROPOSAL DETAILS:
■ All detailed research, planning and itinerary details from the time you hire me until you come home.
■ Ongoing follow up and support via email the entire time answering all your questions during my business hours.
■ Total package pricing, deposit amount, due dates, all taxes, fees, transfers, flights, resort and what payment plans are available.
■ Top recommendation for your room at preferred resort, based on your preferences.
INSURANCE: I include insurance quotes that protect your investment. It is optional but HIGHLY recommended.
■ Insurance will be on its own line item.
■ Always non refundable.
■ If you opt out, there will be a waiver for you to sign at the time of booking.
FLIGHTS: I am a full service travel advisor and happy to offer flight options within the package on preferred airlines.
■ Airfare is available 330 days prior to travel.
■ I recommend purchasing airfare 4-8 months prior to travel depending on time of year.
■ I do not book basic economy, restrictive fares or low cost carriers.
■ If you wish to go with a non-recommended class of service or budget airline, you'll need to book airfare on your own.
■ I will always quote the best fare available with appropriate connection times in Main Cabin, Premium or First Class cabins per your request.
■ I track flights during your travel days.
■ I can and will assist with your airfare issues if it cannot be resolved at the airport, regardless of how it is booked as long as I have the record locator.
■ For Charter Flights ONLY, I include pricing that includes luggage costs and seat pricing so you can choose your optimal seat.
ADDED EXTRAS: Prior to departure, I am happy to assist with pre-booking all or some of your extras, if the resort allows it.
■ Passport and Documentation Requirements
■ Offsite Excursions: personalized ideas for your travel party
■ Wellness Services: Arrange in-room massages, spa appointments, personal training, private yoga instruction
■ Dining: Some destinations allow for reservations before arrival. I will make dinner reservations and/or book something offsite for a unique experience in the area

For the best availability and pricing, I generally recommend planning:
• Theme park vacations: 6–12 months in advance
• Cruises: 8–12 months or more, in advance
• International travel: 6–12 months in advance
• All-inclusive resorts: 6–9 months in advance

Yes. Travel insurance is highly recommended for all trips. I provide guidance and show you options to help protect your vacation investment in case of unexpected changes or travel disruptions.
The cancellation policy for Heather Evans Vacations travel packages varies depending on the package selected and the time of cancellation. I will provide you with the specific cancellation policy for your package at the time of booking.
One of the advantages of hiring me as your travel advisor is having professional support if unexpected issues arise. If you encounter travel disruptions, changes, or questions during your trip, I am available to advocate for you and help guide you toward solutions and assist with adjustments when possible.
Yes, Heather Evans Vacations offers group travel packages for families, friends, and corporate groups. Group packages are customizable and can include activities and accommodations that are suitable for all members of the group.
